Turkey, Sorted. is an independent travel-planning service. For the purposes of UK data protection law, Turkey, Sorted. is responsible for the personal information described in this notice.

This Privacy Notice explains what information we collect when you use Turkey, Sorted., why we collect it, how we use it and your rights.

What information we collect

When you complete the Turkey, Sorted. trip-planning form, you may provide information about:

• your travel dates and where you are travelling from;
• where you will arrive in Turkey and the places you are planning to visit;
• your accommodation and travel arrangements;
• who you are travelling with, including the number of adults and the ages of any children travelling with you;
• whether you have visited Turkey before;
• your interests and travel preferences;
• your food preferences and any dietary requirements you choose to provide;
• how you plan to travel around Turkey;
• your spending preferences and the type of support you would like from Turkey, Sorted.;
• any additional information you choose to provide about your trip; and
• your name and email address.

Please only provide information that is relevant to your trip and the service you would like Turkey, Sorted. to provide.

How we use your information

We use the information you provide to:

• understand your trip and travel preferences;
• create recommendations relevant to you and the people travelling with you;
• personalise your Turkey, Sorted. trip;
• provide the Turkey, Sorted. service you have requested;
• contact you about your trip or request where necessary;
• provide support during your trip where you have requested it;
• ask for feedback after your trip where you have agreed to be contacted; and
• understand how the service is being used and improve Turkey, Sorted.

We will not sell your personal information.

We will not use your contact details for unrelated marketing unless you have separately agreed to receive it.

Our legal basis for using your information

Where you ask Turkey, Sorted. to provide trip-planning recommendations or related services, we process the information you provide because it is necessary to take steps at your request and provide the service you have asked for.

We may also process information where we have a legitimate interest in operating, testing and improving Turkey, Sorted., provided those interests do not override your rights and interests.

We use consent where you agree to optional post-trip feedback contact. Where information reveals health data, we rely on your explicit consent as the additional condition for processing that information.

You can withdraw consent at any time by contacting privacy@turkeysorted.com. Withdrawal does not affect processing already carried out, but we will stop future consent-based processing unless another legal reason requires limited retention.

Information about children

Turkey, Sorted. may ask for the ages of children travelling as part of your group. We use this information so that recommendations and activities can be appropriate for the people travelling with you.

We do not need children's names or contact details for this purpose. Please do not provide them.

The Turkey, Sorted. form is intended to be completed by an adult.

Dietary, accessibility and other information

You may choose to tell us about dietary requirements, allergies, accessibility requirements or other circumstances that could affect your trip.

Please only provide information that you are comfortable sharing and that is relevant to the recommendations or assistance you are requesting.

Where information you voluntarily provide reveals health information, we ask for your separate explicit consent and use the information only to prepare and support the trip plan you requested.

If you provide information about another traveller, you must have their permission to share it. For a child, you must have parental responsibility or appropriate authority to provide the information.

Services we use

Turkey, Sorted. uses third-party technology services to operate the project.

Our trip-planning questionnaire is provided using Tally, which processes and stores submitted form information in Europe on our behalf.

Submitted responses are securely transmitted to a Cloudflare Worker and stored in a Cloudflare D1 database created with an EU data jurisdiction. Cloudflare provides the webhook and database infrastructure used for the controlled pilot.

We also use service providers for communications, controlled file storage and technology used to research, prepare and deliver your recommendations.

These providers may process personal information on our behalf where necessary to provide their services.

Automation and human review

Turkey, Sorted. uses automation to capture and validate submissions and may use AI-assisted tools to help prepare internal briefs and draft trip plans.

During the controlled pilot, every customer plan is checked and approved by a person before it is issued. We do not use this process to make solely automated decisions that have legal or similarly significant effects, and plans are not issued automatically.

Sharing your information

We will not sell or rent your personal information.

We may share information with service providers where this is necessary to operate Turkey, Sorted. or provide the service you have requested.

We may also disclose information where required by law.

We will not provide your personal information to travel businesses simply so that they can market their products or services to you without an appropriate legal basis.

International data transfers

Some technology providers used by Turkey, Sorted. may process or store information outside the United Kingdom.

Where personal information is transferred internationally, appropriate safeguards will be used where required by applicable data-protection law.

How long we keep your information

Our controlled-pilot retention periods are:

• Tally submissions: deleted within 30 days after successful capture and reconciliation;
• raw Cloudflare webhook payloads: deleted within 30 days after the plan is issued and no later than 12 months after submission;
• the active customer record, brief, research and plan versions: retained until six months after the trip ends or a cancelled case closes;
• separate working facts that reveal health information: deleted within 30 days after the trip ends or the case closes, unless an unresolved issue requires a short documented extension;
• clarification and delivery emails: retained until six months after the trip ends or the case closes; and
• consent, quality-control, approval and deletion evidence: retained for 24 months after case closure without unnecessary sensitive details.

We may retain limited financial or legal records for longer where required, without attaching unnecessary trip or health information. Truly anonymised service statistics may be kept while useful because they no longer identify an individual.

We review these periods and delete or anonymise information when it is no longer needed.

Keeping your information secure

We take reasonable steps to protect the personal information provided to Turkey, Sorted. and use service providers and systems intended to provide appropriate safeguards for the information they process.

However, no internet-based service can guarantee complete security.

Your rights

Depending on the circumstances, UK data-protection law may give you the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to delete your personal information;
• ask us to restrict how your information is used;
• object to certain uses of your information;
• withdraw consent where we rely on your consent; and
• request the transfer of certain information where applicable.

You also have the right to raise a concern with the UK Information Commissioner's Office if you are unhappy with how your personal information has been handled.

Changes to this Privacy Notice

We may update this Privacy Notice as Turkey, Sorted. develops or if the way we use personal information changes.

The latest version will be made available through the Turkey, Sorted. service and the date at the top of this notice will show when it was last updated.
